A missed-call text-back system detects an unanswered call and sends the caller an automated SMS acknowledging it. A strong setup invites a useful reply, records the conversation, assigns follow-up and respects consent and opt-out requirements.
How the workflow operates
The phone platform marks the call as missed, then a workflow checks conditions such as business hours, call duration and whether the number can receive text messages. It sends an approved message from the business number or a connected messaging number. A reply enters a shared inbox or CRM and alerts the appropriate person.
What the first message should accomplish
- Identify the business clearly.
- State that the call was missed without pretending a human sent the message.
- Offer one easy next step, such as replying with the service needed.
- Set a realistic response expectation.
- Use required opt-out language where applicable.
Do not overload the first text with multiple links, a long sales pitch and a questionnaire. The purpose is to reopen the conversation.
When it is most useful
Text-back is especially practical for field-service teams, small offices, after-hours calls and businesses where customers usually have a simple first question. It is less appropriate for emergencies or sensitive matters that require immediate professional judgment.
“We will reply shortly” should only be used if the team can consistently do that. If response times vary, ask for the best callback window instead.
What it does not replace
It does not replace staffing, a clear sales process or human accountability. It also does not solve a weak offer, poor routing or unanswered replies. Automation creates the handoff; your business still owns the outcome.
